Scheduling and Cost Control

Everett Whitehead & Son, Inc., utilizes Suretrak Project Management CPM software
from Primavera for producing and tracking project schedules.  This format produces a
computerized bar chart schedule highlighting the critical path.  It can be updated at any
time to indicate instant and accurate status of the project.

The amount of schedule detail is decided by the type of project, size of project, detail
requested by owner and amount of work that is to be performed by our own forces.  Work
can be sorted and itemized by a number of ways according to the requirements.

The scheduled activities will be defined in sufficient detail to provide critical interface milestones between contractors, subcontractors, suppliers and submittals. 

Shop drawings and submittals are tracked using a spreadsheet showing all items required by the specification manual and itemized by number.  The submittal log identifies specification section, description, subcontractor or supplier responsible, date required, date submitted, and approval date.  These dates are determined by the overall project schedule requirements.

R.F.I.’s and A.S.I.’s are logged on a spreadsheet as well; by number, date sent, date received and status.

During the development of the project schedule, the estimator, project manager and superintendent provide input as to the logical and realistic duration and sequencing of the work.  The time requirements of the subcontractors is requested at this time in writing and compared to the requirements of the overall schedule.  Drafts of the preliminary schedule are sent to every subcontractor for additional input.

From the estimate, the man hours required are identified and compared to the project schedule to determine man power requirements for completion of the work and meeting the defined milestones.

Everett Whitehead & Son, Inc., utilize Gemini accounting software for cost control and bookkeeping. Cost control is obtained by first entering the estimate into the appropriate cost code categories to establish a project budget.  As the job progresses, costs are allocated to the different cost codes and reviewed by the project manager to make sure that the various trades are being performed at the allocated prices.

Office Staff

All jobs have a schedule which must be adhered to whether by contract, owner or profit-ability for the contractor.  The team makes this analysis before start, which determines what personnel and how many will be assigned.

Cost control is a big part of our every day business.  When we are tracking and holding prices for the owner, it is no different than doing it for ourselves in our own work.  To honor a contract for the owner is the same as bringing the project in on budget to make our company profitable.

All change orders start at the job, then go through the estimating department and then given to the project manager.  Depending on protocol they would then go to the owner or architect.

Organizational Structures

Once a project is bid and taken to contract, the estimator reviews the scope and estimate with the project manager and assists the project manager with issuing subcontracts and purchase orders.  After the project has started, all R.R.I.’s, A.S.I.’s, and other correspondence will be routed through the project manager who will distribute to the superintendent, subcontractors, owner and architect ensuring that all parties involved are copied.  All management personnel of Everett Whitehead & Son, Inc., are furnished with Nextel telephones, which facilitate instant access to one another.  A majority of the scheduling between deliveries and subcontractors is handled in this way.

Information System

 All office personnel are linked to an inter-office network with internet capabilities.  This way, estimating, accounting and scheduling files can be shared and reviewed by anyone with the proper authority.  Files and e-mails can be sent to those within the company as well as the owner, architect, subcontractors and suppliers.
